Volunteer Services Coordinator Position Summary and Details 

  • Position Summary: The Patient/Family Volunteer Services Coordinator is responsible for assisting in the recruitment, training, processing back ground checks and maintaining electronic records of all volunteers.  Assisting in ensuring all regulatory volunteer needs are met in the community, and patient & family needs of Hospice of Southern Illinois.
  • Pay: $18.83 Hourly. Full-Time Non-Exempt Position
  • Schedule: Monday- Friday 8:30 AM- 5:00 PM with occasional evenings or weekends for events such as volunteer recognition dinners or community functions. 
  • Location: Would be based out of the Belleville, IL Patient Services Office, but would also need to visit the Marion, IL Patient Services Office. This position has access to use the Company Vehicle for company related business. If the company car is not available for use, you would receive Mileage Reimbursement of .70 cents per mile for driving your personal vehicle.

Position Requirements
  1. Education:
    1. Graduate of an accredited high school. 
    2. Bachelor's degree preferred.
 
  1. Experience:
    1. Has worked for a minimum of 2 years in a healthcare setting.  Knowledge of Medicare hospice regulations, a plus.
    2. Has volunteered with community service organizations.
    3. Has served a variety of people in a range of emotional situations.
    4. Functional knowledge and working experience with Microsoft Office Products.
    5. Working knowledge of database applications, and computer-generated report writing.  Experience with online portals to pull information to generate reports.

    1. Effectively use appropriate communication skills to build rapport with volunteers, potential volunteers, vendors, patients, employees, and families.
    2. Able to present information in a public setting with the use of technology, as necessary.
    3. Demonstrates ability to work productively with a variety of people while maintaining an enthusiastic attitude. 
    4. Takes initiative and demonstrates exceptional attention to detail.  Able to work independently and prioritize multiple tasks.
    5. Able to recognize strengths in others to enhance volunteer experience through appropriately matching volunteer opportunities.
    6. Able to actively represent Volunteer Services on the Hospice Team to identify patient/family and community volunteer opportunities, assign the appropriate volunteer(s), and to monitor the volunteer assignments.
    7. Respects the individuality and equality of Volunteers.  Willing and able to provide exceptional customer service. 
    8. Ability to identify and solve problems, collect date, establish facts and draw conclusions.  Demonstrates positive, effective problem-solving and organizational, and time management skills.
    9. Has reliable transportation and shows proof of liability insurance.
    10. Willing to travel within the boundaries of Hospice of Southern Illinois, Inc.
 
Physical Requirements: Performs repetitive tasks.  Does sedentary work: prolonged periods of sitting or standing and exerts up to 10 lbs. force occasionally.  Requires physical flexibility of bending at knee and squat-bend. The Volunteer Services Coordinator manages stress appropriately, makes decisions under pressure, handles multiple priorities, works alone and manages anger/fear/hostility/violence of others appropriately.  This position requires clarity of vision >20 inches and <20 feet, hear alarms/telephone/tape recorder.
 
Working Conditions: The Volunteer Services Coordinator spends approximately 95% of his/her time in an air-conditioned environment with varying exposures to excessive humidity and noise.  The remaining 5% of his/her time is spent in an automobile or patient home, which may or may not have heat/air conditioning.  The position has potential for exposure to malodorous, infectious body fluids from patients, animal pet hair, allergens in the home environment, some exposure to noxious smells from cleansing agents, exposure to communicable diseases, and traffic.
 
 
Essential Functions
  1. Provides exceptional customer support to all stakeholders and make a positive impact on the interdisciplinary and community teams.
  2. Demonstrates the ability to work independently and self-prioritize through strong organizational and time management skills.
  3. Collaborate, coordinate and lead volunteer training programs and volunteer team meetings.
  4. To assist with and attend functions supported by Hospice of Southern Illinois, Inc. (i.e. Annual Volunteer Recognition Dinner, fundraising activities, and special events.)
  5. Through proactive practices, ensures creative, quality, continuous, ongoing, scheduled volunteer activities.  Builds positive relationships with volunteers to break down barriers and ensure collaboration, striving to maintain an accurate active list of volunteers. Ensure that all Hospice of Southern Illinois Volunteers are equally offered the opportunity to participate and to share their skills, as appropriate.
  6. Cooperate with the Volunteer Services Team in the writing, assembling, approvals, and dissemination of the Volunteer newsletter.
  7. Ability to develop spreadsheets, databases, and utilize computer data entry skills to meet organizational and reporting tasks.
  8. Process background checks and initiate fingerprinting process for volunteers through the human resources department in a timely manner. 
  9. Ensures volunteers are in good standing through the Illinois Department of Public Health and Office of the Inspector General (OIG) checks. 
  10. To keep accurate records of Volunteer activities to ensure the organization meets the 5% volunteer service requirement.
  11. Self-prioritize to maintain continuous Volunteer Department duties and responsibilities in the absence of the immediate supervisor.
  12. Collaborate and build positive relationships with volunteers, willing and able to jump in and roll-up their sleeves to motivate participation and lead by example.
  13. Demonstrates the ability to assist the Volunteer Services Supervisor in the assessment process of volunteers.  Ensures all annual appraisals, and background checks are completed timely.
  14. Conducts assigned training for Special Hospice Volunteer Programs, i.e. Jr. Volunteers, Bereavement Volunteers, Vigilance Volunteers, Spirituality Support, etc.  Ensures records are up-to-date on all annual training.
  15. Proactively seeks out volunteer opportunities to enhance the mission of Hospice of Southern Illinois.
  16. Continuously enhance knowledge of required volunteer competencies.
  17. Actively participate in meetings and in-services as directed by supervisor.  Ensures assigned Relias education is completed timely.
  18. Gain knowledge of additional programs in which Volunteers might participate, i.e. We Honor Veterans Program, Hospice Initiative Volunteers.
  19. Ability to work with patients, families, clinical staff, and community partners to positively enhance the organization’s mission.
  20. Display a high level of empathy, emotional intelligence, and professionalism.
  21. Demonstrates the ability to be flexible, adaptable, and display ethical boundaries.
  22. Ability to support, demonstrate, and celebrate evidence of Hospice of Southern Illinois’ core values in daily practices.
  23. Manages Paid Time Off appropriately.  Ensures appropriate PTO hours are available when submitting time off requests. 
  24. Ensures accurate timesheet documentation is completed in a timely manner.
